These Terms & Conditions apply to services provided by **Loved 2 A Tee** and **The Loved Lens Lounge**. By submitting payment, the client acknowledges and agrees to the policies outlined below.

## 1. Booking & Payment Policy

We recommend booking as early as possible to ensure availability for your desired event date.

A **$25 non-refundable reservation fee** is required to begin the booking process and temporarily hold your requested event date while event details, services, selections, and pricing are finalized.

Once the final invoice or booking proposal is issued, the reservation fee will hold the requested date for **48 hours**, unless otherwise stated in writing. If the required retainer is not received within that time, the date may be released and made available to other clients.

Once event details, décor selections, photo booth services, rentals, and other requested services are confirmed, a detailed invoice will be provided by email.

A **40% non-refundable retainer** is required to officially secure the event date.

The $25 reservation fee is **credited toward the required 40% retainer and is not an additional charge**. After paying the reservation fee, the client is responsible only for the remaining amount necessary to bring the total retainer paid to 40% of the contracted event total.

For example, if the contracted event total is $1,000, the required 40% retainer is $400. After the $25 reservation fee has been paid, the remaining retainer due would be $375.

**An event is not officially booked or guaranteed until the full required retainer has been received.**

The remaining balance must be paid in full **no later than 30 days before the event date**.

For events booked **within 30 days of the event date, full payment is required at the time of booking**.

Failure to make payment by the required deadline may result in cancellation of services, release of the event date, and forfeiture of payments already made.

For same-day orders, requests must be submitted at least **4 hours in advance**. Same-day requests are subject to availability and are not guaranteed until confirmed and paid in full.

### Payment Processing Fees

A processing fee may apply to eligible electronic or card transactions. Any applicable processing fee will be disclosed at checkout or on the client's invoice and is separate from the contracted service total.

Processing fees are non-refundable to the extent permitted by applicable law and payment-provider requirements.

## 2. On-Site Consultation & Design Mock-Up

A **$25 non-refundable consultation fee** applies to requested in-person venue consultations.

The fee covers travel, consultation time, venue assessment, measurements when necessary, and preparation of a customized event design mock-up based on the client's space and vision.

If the client proceeds with booking, the consultation fee **may be credited toward the final event balance at our discretion**.

The consultation fee is separate from the reservation fee and **does not reserve or secure an event date** unless specifically stated in writing.

## 3. Installation & Design Changes

Décor and installations will be completed according to the client's approved selections, design, and agreed-upon event details.

Once installation has been completed, requests for changes, redesigns, relocation, or additional décor may be subject to additional fees and may not be possible due to time, materials, staffing, venue restrictions, or other circumstances.

If the client, guests, venue staff, other vendors, or any third party moves, alters, removes, dismantles, or interferes with installed décor, rentals, or equipment after setup is complete, the client assumes responsibility for any resulting damage, loss, injury, or additional costs.

## 4. After-Hours Services

Standard service hours for delivery, setup, pickup, and breakdown are **8:00 AM to 9:00 PM**.

An additional after-hours fee may apply to teardown, breakdown, pickup, delivery, or other services scheduled outside these hours.

After-hours charges may vary based on the time, location, staffing requirements, equipment, travel, and scope of service.

Applicable after-hours charges will be disclosed on the client's invoice or approved in writing before the service is performed whenever reasonably possible.

## 5. Damaged, Lost, or Missing Equipment

The client is responsible for rented décor, equipment, props, furnishings, linens, backdrops, stands, frames, photo booth equipment, and other reusable items while they are present at the event or in the client's possession.

The client is responsible for items that are lost, stolen, damaged, destroyed, stained, excessively soiled, altered, or returned in a condition beyond normal wear and tear.

Applicable cleaning, repair, or replacement costs will be billed to the client.

## 6. Weather & Outdoor Events

Balloons, backdrops, photo booth equipment, props, and other décor may be affected by outdoor and environmental conditions.

Loved 2 A Tee and The Loved Lens Lounge are not responsible for delays, deterioration, damage, or loss caused by conditions including, but not limited to:

* Wind
* Rain
* Extreme heat
* Cold temperatures
* Humidity
* Direct sunlight
* Storms or severe weather

Outdoor installations and services are performed at the client's risk. Clients are strongly encouraged to have an appropriate indoor or covered backup location available.

For safety reasons, we reserve the right to modify, delay, relocate, or decline an outdoor installation when conditions create an unreasonable safety risk to staff, guests, equipment, or décor.

If an outdoor installation cannot safely proceed, we will make reasonable efforts to relocate, modify, reschedule, or provide an alternative solution when feasible. Any additional costs associated with relocation, redesign, replacement materials, additional travel, or rescheduling may be the client's responsibility.

Payments already applied toward materials, custom products, preparation, labor, rentals, or other incurred expenses remain non-refundable.

## 7. Refund & Cancellation Policy

Because event dates, labor, inventory, and materials are reserved specifically for each client, **all payments are non-refundable**, including applicable:

* Reservation fees
* Retainers
* Consultation fees
* Processing fees
* Design fees
* Rush fees
* Custom-order payments
* Rental payments
* Additional service fees

If the client cancels an event, amounts already paid may, **at our discretion**, be credited toward a future event. Any credit is subject to availability, circumstances surrounding the cancellation, and expenses already incurred.

Approved credits are not guaranteed, have no cash value, and may not be transferred to another person without written approval.

No refunds will be issued for materials, balloons, signage, printed products, personalized items, rentals, or other products that have already been purchased, ordered, produced, prepared, customized, or reserved for the event.

No refunds will be issued for services already performed.

## 8. Delivery & Pickup

Delivery, setup, breakdown, and pickup times will be scheduled in advance.

The client is responsible for ensuring that the venue is accessible and ready at the agreed-upon time.

If the client, venue, or venue representative is unavailable or the space is not ready at the scheduled time, additional charges may apply, including:

* Waiting fees
* Additional labor
* Return-trip fees
* Rescheduling fees
* After-hours fees

Delivery and pickup charges may vary based on location, distance, event requirements, equipment, staffing, and access conditions.

## 9. Setup & Venue Access

The client is responsible for ensuring sufficient and timely access to the event space for delivery, setup, installation, breakdown, and pickup.

Venue restrictions and access requirements must be communicated before the event, including:

* Stairs or elevators
* Loading docks
* Parking restrictions
* Long walking distances
* Limited setup windows
* Security procedures
* Vendor check-in requirements
* Venue insurance requirements
* Restricted entrances
* Limited loading/unloading access

Additional charges may apply when access conditions require additional labor, staffing, equipment, transportation, parking expenses, or setup time.

If venue or client delays reduce the originally agreed-upon setup window, we will make reasonable efforts to complete the installation. However, we cannot guarantee that the entire approved design can be completed when sufficient access or setup time is not provided.

Such circumstances do not constitute grounds for a refund when the delay or access restriction is outside our control.

## 10. Safety & Liability

Décor, props, equipment, backdrops, stands, photo booth equipment, rentals, and installations are intended only for their designated purposes.

Clients, guests, children, venue personnel, and other individuals should not climb on, hang from, sit on, move, dismantle, misuse, or tamper with décor or equipment unless the item is specifically intended for that use.

Loved 2 A Tee and The Loved Lens Lounge are not responsible for injuries, accidents, property damage, equipment damage, or other losses resulting from misuse, unauthorized movement, tampering, or improper handling by clients, guests, venue staff, vendors, or other third parties.

## 11. Balloon & Décor Disclaimer

We use **professional-grade balloon materials** and take reasonable measures to provide quality installations.

However, balloons and certain décor materials are naturally affected by environmental conditions, including temperature, humidity, wind, sunlight, heat, cold, handling, and surface conditions.

The appearance, inflation, longevity, positioning, and condition of balloons and décor cannot be guaranteed after installation, particularly for outdoor or sun-exposed events.

Loved 2 A Tee is not responsible for oxidation, popping, deflation, color changes, movement, deterioration, or other changes caused by environmental conditions, guest interaction, venue conditions, or circumstances outside our reasonable control.

## 12. Cleanup & Disposal

If breakdown or cleanup services are not included in the client's package or purchased separately, the client is responsible for proper cleanup and disposal of balloons, décor materials, packaging, and other disposable event materials.

Balloons should **never be intentionally released outdoors**.

Clients are responsible for complying with applicable venue policies and local laws regarding balloon disposal and environmental requirements.

## 13. Rescheduling

Requests to reschedule should be submitted at least **10 days before the original event date**.

Rescheduling requests are subject to availability and are not guaranteed.

If a new date is approved, previously paid reservation fees and retainers may be transferred **one time**, at our discretion, provided the requested new date is available.

Materials, custom products, signage, balloons, printed items, rentals, or other event-specific items that have already been purchased, ordered, produced, or prepared may require additional payment if they cannot be reused for the rescheduled event.

Any difference in pricing, services, labor, rentals, delivery, or other costs associated with the new event date will be the client's responsibility.

## 14. Rental Returns

Rental items must be returned or made available for pickup at the agreed-upon **date, time, location, and condition**.

Items must be returned in substantially the same condition in which they were received, excluding reasonable normal wear and tear.

Late, missing, damaged, excessively soiled, altered, or unreturned items may result in additional cleaning, repair, replacement, late-return, or extended-rental fees.

Rental items remaining in the client's possession beyond the agreed return time may continue to accrue applicable rental or late fees until returned.

## 15. Late Payments

Balances not paid by the stated due date may be subject to a **3% late fee**, to the extent permitted by applicable law.

All outstanding balances and applicable fees must be paid in full before delivery, installation, setup, rental release, or commencement of services.

Failure to make required payments may result in cancellation of services and release of the event date without refund of amounts previously paid.

## 16. Product Availability & Substitutions

Specific balloon colors, florals, linens, décor materials, props, rental items, and other products are subject to availability.

If a selected item becomes unavailable, discontinued, delayed, damaged, defective, or otherwise unsuitable for use, Loved 2 A Tee or The Loved Lens Lounge may substitute an item of reasonably comparable **style, color, quality, function, or value** when necessary.

Reasonable efforts will be made to maintain the overall approved design, color palette, and aesthetic.

When reasonably possible, significant substitutions that materially affect the approved design will be communicated to the client before installation.

## 17. Custom Designs, Signage & Proof Approval

The client is responsible for reviewing and approving all custom designs and proofs before production.

This includes verifying:

* Names and spelling
* Dates
* Times
* Wording
* Photographs
* Colors
* Logos
* Event details
* Other personalized information

Once a design or proof has been approved and production has begun, requested changes may result in additional design, printing, material, replacement, or rush fees.

Loved 2 A Tee and The Loved Lens Lounge are not responsible for errors appearing in a final product when those same errors were present in a proof reviewed and approved by the client.

If a client delays proof approval, the production or delivery timeline may also be affected.

## 18. Client-Provided Items

Any balloons, décor, graphics, photographs, logos, props, signage, or other materials supplied by the client remain the client's responsibility unless otherwise agreed in writing.

Loved 2 A Tee and The Loved Lens Lounge are not responsible for the quality, durability, compatibility, condition, copyright authorization, or performance of client-provided materials.

We reserve the right to decline the use or installation of client-provided items that we reasonably determine to be unsafe, damaged, unsuitable, incompatible with the approved design, or likely to compromise the quality or safety of the installation.

# Agreement to Terms

By submitting a reservation fee, retainer, consultation fee, invoice payment, or other payment to **Loved 2 A Tee** or **The Loved Lens Lounge**, the client acknowledges that they have read, understood, and agreed to these Terms & Conditions.

Payment constitutes acceptance of the applicable policies, payment requirements, cancellation and rescheduling provisions, rental responsibilities, and other conditions stated herein.

The client is responsible for reviewing all event details, services, dates, times, locations, selections, designs, and charges listed on their invoice or proposal before submitting payment.

Any modification, exception, special arrangement, or waiver of these Terms & Conditions must be approved **in writing** by Loved 2 A Tee or The Loved Lens Lounge.
